When people talk about sourcing from China, they often focus on one thing: finding a supplier.
In reality, that’s only a small part of the job.
A sourcing project usually involves dozens of decisions before the products are ready to ship. Choosing the wrong factory, missing a technical detail or skipping a quality check can create problems that are expensive to fix later.
To show what happens behind the scenes, here’s how we recently supported a European client during a sourcing project. We’ve kept the product and the company anonymous, but the process reflects the way we work every day.
Every Project Starts with Questions
Before contacting any factory, we spend time understanding what the client is really looking for.
Sometimes the first request is straightforward. Other times, we discover that the original specifications need to be refined before suppliers can even prepare an accurate quotation.
We discuss the product, expected quality, target market, estimated volumes and any technical requirements. These early conversations often answer questions the client didn’t even know they needed to ask.
A clear brief saves a lot of time later.
Finding a Factory Is Easy. Finding the Right One Takes Longer.
Once the project was clearly defined, we started looking for suppliers.
Several factories looked suitable at first glance, but after comparing them more closely, the differences became obvious.
One offered a very competitive price but had limited production capacity. Another had strong technical expertise but couldn’t meet the delivery schedule. A third had experience with similar products and communicated quickly, making them a much better fit for the project.
This is why we never recommend a supplier based on price alone.
The goal isn’t to find the cheapest factory. It’s to find the one that gives the client the best chance of a successful project.
Production Doesn’t Start When the Order Is Signed
Many people assume the work is finished once the purchase order has been confirmed.
For us, that’s where the real coordination begins.
Before production, we reviewed samples with the client and the factory, confirmed technical details and made sure everyone was working from the same specifications.
During production, we stayed in regular contact with the supplier to answer questions and resolve small issues before they became bigger ones.
Before shipment, we organised a quality inspection to check that the finished products matched what had been agreed at the start.
Most problems are much easier to solve while the goods are still in the factory.
The Last Step Is Getting the Goods to the Client
Once production was complete, we coordinated the shipment.
That included export documents, transport arrangements and communication with the different parties involved until the goods were on their way.
For the client, the process remained simple.
Instead of contacting the factory, the inspection company and the freight forwarder separately, they had one team coordinating everything from start to finish.
A Good Supplier Is Only Part of a Successful Project
People sometimes think sourcing is about finding a factory with the right price.
From our experience, it’s much more about making the right decisions at the right time.
A good supplier matters. Clear specifications matter. Good communication matters. Quality checks matter.
When those pieces come together, the project usually runs smoothly.
That’s the role we play at Eurasia Consultis.
We help European companies move from an idea to a finished product with fewer surprises, fewer risks and a team on the ground in China whenever it’s needed.
